Green Action Centre Seeks Office Coordinator

Who We Are: 

Green Action Centre is an environmental, non-profit organization based in Winnipeg and serving Manitoba. We are a registered charity, governed by an elected board of directors, with a core group of passionate, dedicated staff. We promote greener living through environmental education and encourage practical green solutions for households, workplaces, schools and communities. Our primary areas of focus are green commuting, composting and waste reduction, sustainable living, and resource conservation. We also run a social enterprise, Compost Winnipeg, which collects commercial and residential organic waste in Winnipeg. We are located in the heart of downtown. Our office is located on Treaty 1 territory, the ancestral lands of Anishinaabeg, Ininew, Anishininiwag, Dakota, and Dene Peoples, and the homeland of the Métis Nation. 

The Position:

The Office Coordinator plays a vital role in keeping our operations running smoothly and supporting the work of our programs. We are looking for someone who thrives in a dynamic, team-oriented environment, is highly organized, and can work with minimal supervision. This position is central to ensuring effective coordination across the organization and works closely with program leads and staff.

Key Responsibilities:

  • General admin duties
    • Manage and organize files, record systems, office supplies/inventory, and storage area.
    • Schedule and organize staff meetings and board meetings.
    • Communicate and liaise with external agencies and suppliers (building manager, vendors, etc.)
    • Participate in general accounting duties including resolving billing questions, managing invoices and receipt of payments, and distributing cheques.
    • General clerical activities such as mail distribution, Peggo cards, filing, etc.
    • Other administrative duties as needed
  • Customer service/events
    • Greet office visitors, respond to general enquiries, and direct visitors to the appropriate staff members as needed
    • Answer the general phone line, responding to enquiries, directing calls to appropriate staff
    • Manage general email enquiries
    • Receive incoming donations, issue tax receipts, and coordinate donor thank yous with support from the Marketing & Communications Coordinator
    • Coordinate membership renewals and correspondence throughout the year
    • Work with Marketing & Communications Coordinator to expand membership services/benefits and grow membership numbers
    • Provide support with organizing and managing logistics for annual office events such as the open house and Annual General Meeting
    • Manage incoming requests for presentations and event displays among the various programs, and support program staff with determining logistics and scheduling
    • Provide event support, including setting up or taking down displays,  help staff the displays at community events, and assisting with registrations and greeting guests
  • ED Assistant duties
    • Assist the Executive Director as needed with preparing presentations, reports, meeting minutes, and general correspondence, ensuring accuracy and clarity across all materials.
    • Provide additional general support to the Executive Director by performing other related duties as needed.

Who You Are: 

You’re passionate about the environment! You want to work somewhere you can feel good about, and you want to do it with a really cool group of like minded people. Ideally, you’re someone who is organized, deadline driven, and has excellent time management skills. We don’t love micromanaging, so we’re looking for someone who is able to work independently and without close supervision. Some of the qualifications we’re looking for are:

  • Experience in admin, office management, or similar 
  • Strong written and verbal communication skills
  • Strong organizational skills with experience in file management, data entry, and maintaining accurate records
  • Familiarity with Adobe Acrobat, Microsoft Office, and Google Workspace Suite
  • Creative thinker with strong attention to detail
  • Ability to work independently with minimal supervision
  • Flexibility and adaptability in a fast-paced work environment. 

The following qualifications are not necessary, but would be considered great assets: 

  • Degree/diploma in business administration or a related field is preferred
  • Passion for sustainability and environmental issues is a strong asset.
  • Experience in budgeting and reporting
  • Ability to speak and write in French

Physical Demands & Other Requirements

  • A valid Class 5 driver’s license is an asset
  • Comfortable working in an open office environment
  • Able to work evenings and weekends as required
